The Bainbridge Island Downtown Association is hiring an Administrative Assistant.
Overview
The Administrative Assistant will support the Executive Director in administering BIDA’s operations, events, design projects and economic promotion activities. She/he will work under the direct supervision of the Executive Director and the Board of Directors. The position is between 32-40 hours per week, with vacation accrued based on hours worked. Pay is commensurate with experience.
Duties
- Daily duties include general office processes, such as answering phones, taking messages, preparing correspondence, opening and processing mail, mail merges, document creation, and maintaining lists and forms.
- Assist in the development and execution of special events.
- Assist in meeting preparation and execution.
- Assist in recruiting and retaining volunteers.
- Assist in membership recruitment, sales of Walkabout Guide listings, and sales of Hollydays Guide advertising.
- Maintaining organizational files, archiving, and storage.
- Use of FileMaker Pro to organize and maintain current membership and organizational files.
- Assist Director and bookkeeper with coding and tracking of income and expenses.
- Assist in Main Street™ reporting.
- Responsible for public contact on behalf of BIDA in person, over the phone, and via e-mail.
- Responsible for deliveries, errands, and pick-ups.
- Other duties as requested by Director.
Qualifications
- Because the Administrative Assistant is a liaison between the Executive Director and various city and local officials, at least four years of administrative support experience is required.
- Must have above-average computer skills and willingness to learn new software, including FileMaker Pro, Publisher, Word, and Excel.
- Must have excellent, positive interpersonal skills in dealing with the public and key stakeholders, including city officials, board members, merchants, members, and volunteers.
- Must have excellent word processing and proof-reading skills, with accurate typing, and mastery of the English language.
- Must have ability to perform complex duties displaying independent judgment, initiative, and creativity.
- Must be willing to work special events outside office hours on occasion.
- Must have ability to prioritize and multi-task.
- Familiarity with local community a plus.
- Graphic design experience a plus.
- Interest or background in promotions, marketing, or communications a plus.
- Prior non-profit experience a plus.
- Familiarity with QuickBooks and bookkeeping procedures a plus.
